Automated invoicing and Renewals

1 April is the start of a new membership year for one of our clients, the European Association for Aviation Psychology (EAAP).

Normally at this time they would be busy printing and mailing invoices to the members, accepting payments and then posting back receipts. Not this year.

Instead at exactly 1:15AM a script on their website kicked into action. Using details from the database it generated and automatically emailed invoices in PDF format to each of their (hundreds of) members. You can see an example to the right.

The invoice includes details for bank transfers, but also a link to the membership area of the website where members can update any changes to their contact details and initiate an online payment (in this case using the ConCardis payment gateway).

Upon confirmation of payment, online or otherwise, the members details are updated and a PDF receipt is again sent automatically containing all the relevant information.

As well as invoices and receipts we can use the same technique to generate certificates, vouchers and any other documents that need to include unique information.
